Booking Terms & Code of Conduct
Thank you for booking a tour with Silverton Wildflower Tours! To ensure a safe, enjoyable, and productive experience, all guests must read, understand, and agree to the following policies before completing their reservation. Your acceptance of these terms is a condition of participation.
For the purposes of these Terms and Conditions, Silverton Wildflower Tours (“the Company”) refers to the tour operator providing services through www.flowerfieldtours.com.
1. Payment
• Full payment is required at the time of booking through our online system at www.flowerfieldtours.com.
• Reservations are confirmed only after payment is successfully processed and accepted by the Company.
• The Company is not responsible for technical errors, internet outages, declined transactions, or duplicate bookings.
2. Cancellations & Refunds
• Cancellations made 48 hours or more before your scheduled tour start time (Pacific Time) receive a full refund.
• Cancellations made less than 48 hours before the tour start time are non-refundable. However, the Company will make reasonable efforts to transfer your booking to a different available tour date and/or time within the current operating year at no additional charge, subject to availability, current pricing, and any applicable price differences. Transfers are not guaranteed.
• If the Company is unable to accommodate a transfer, the cancellation will remain non-refundable, and no credit or refund will be issued.
• Refunds (when applicable) will be processed to the original payment method as soon as possible, typically within 7–14 business days, depending on your payment processor.
• Partial cancellations within a group may be subject to adjusted refunds or transfers depending on availability, group size, and tour capacity.
• The Company may consider emergency or exceptional circumstances on a case-by-case basis, at its sole discretion.
• All times referenced are Pacific Time.
3. Weather, Bloom Variability, Tour Minimums & Rescheduling
• Tours take place outdoors; weather conditions, natural events, bloom timing, or participation levels may require rescheduling or cancellation.
• The Company reserves the right to review tour participation in advance. If a scheduled tour is less than 25% full, the Company may contact guests more than 48 hours prior to the tour to offer a transfer to another available tour date or time.
• Every reasonable effort will be made to accommodate guest availability when proposing an alternate tour.
• If a guest is unable or unwilling to attend the alternate tour offered, the Company may cancel the original reservation and issue a full refund.
• In the event of severe weather, extreme heat, natural disasters, or other unforeseen circumstances, the Company will attempt to reschedule the tour within the current season.
• If rescheduling is not possible, a full refund will be issued.
• The Company is not responsible for indirect or consequential losses, including travel, lodging, or other expenses incurred due to rescheduling or cancellation.
• Participants acknowledge and accept that flower blooms cannot be guaranteed and may vary year to year.
4. Changes to Reservation
• Requests to change the tour date or number of participants must be made at least 48 hours prior to your scheduled tour.
• Changes are subject to availability and tour capacity limits.
• Groups exceeding the maximum size may be required to split into multiple tours or pay additional fees.
• Requests for special accommodations or accessibility adjustments should be made at least 48 hours in advance.
5. Arrival & No-Shows
• We will make every effort to depart on time. Please arrive at least 30 minutes prior to your scheduled tour to ensure you do not miss departure.
• Late arrivals may not be accommodated if the tour has already begun.
• Guests who fail to attend without prior notice are considered no-shows; payments are non-refundable.
• The Company may accommodate late arrivals at its sole discretion but is not obligated to do so.
6. Child Safety Seat Policy
• In accordance with Oregon law, children who are required to use a car seat or booster seat must do so during our tours.
• Silverton Wildflower Tours does not provide child safety seats.
• Guests traveling with children who require a car seat or booster seat must bring and properly install their own approved seat prior to departure.
• For safety and legal reasons, children without the required seat cannot be transported or permitted to participate, and no refund will be issued.
7. Customer Rules & Code of Conduct
To protect our guests, staff, and farmland, all participants must:
• Not touch or pick flowers unless during staff-led activities. Flowers are grown for seed production.
• Not enter flower fields, as they may be easily damaged.
• Stay with the group within line-of-sight and earshot of guides or vehicles.
• Ensure children are supervised by a responsible adult at all times.
• Stay away from farm equipment, machinery, and potentially hazardous areas.
• Wear closed-toe shoes and dress appropriately for weather conditions.
• Be mindful of uneven ground, mud, ruts, and rocks.
Consequences of violations may include:
• Immediate removal from the tour
• Denial of future tours
• No refund
Responsibility for Damages:
• Guests are financially responsible for any damage they cause to crops, equipment, or property.
• Following rules reduces, but does not eliminate, the risk of injury; participants assume all risks inherent to the activities.
8. Liability
• Silverton WildFlower Tours is not responsible for injuries or damages resulting from failure to follow these policies or the Customer Code of Conduct.
• Participation in tours is subject to the Liability Waiver signed at booking, which includes protections under Oregon agritourism law (ORS 30.691–30.697) and outlines participants’ assumption of risk.
• These Terms and the Waiver together clarify participant responsibilities and the Company’s legal protections.
9. Seasonal & Weather Flexibility
• Tours are generally offered from early June through late July; however, exact dates vary depending on bloom conditions and weather.
• By booking, participants acknowledge that:
1. Tour dates may be adjusted due to weather, bloom timing, or participation levels.
2. The Company is not responsible for delays, cancellations, or inconvenience caused by weather, natural bloom variability, or other unforeseen events.
• The Company will notify participants of rescheduling at least 48 hours in advance when possible.
• Participants who cannot attend rescheduled tours will receive a full refund.
10. Force Majeure
The Company shall not be liable for any failure or delay in performing its obligations under these Terms when such failure or delay is caused by events beyond the Company’s reasonable control (“Force Majeure Events”). These events include, but are not limited to:
• Acts of God; severe or extreme weather (including storms, floods, high winds, excessive heat, wildfire, wildfire smoke, or other hazardous conditions); natural disasters; earthquakes; or explosions
• Government orders, laws, regulations, advisories, restrictions, or actions
• Epidemics, pandemics, or widespread public health emergencies
• War, terrorism, civil unrest, riots, strikes, labor disputes, or shortages of essential resources
• Other similar events that make performance impossible, illegal, unsafe, or commercially impracticable
In the event of a Force Majeure Event, the Company will make reasonable efforts to notify affected guests as soon as practicable and may, at its sole discretion:
• Cancel the tour and issue a full refund or offer a transfer within the current operating season (subject to availability)
• Reschedule the tour
• Take other appropriate actions to mitigate impacts
The Company is not responsible for indirect, incidental, or consequential losses arising from such events. Participants acknowledge that outdoor agritourism activities are inherently subject to these risks and assume them in addition to those outlined in the Liability Waiver and applicable Oregon agritourism laws (ORS 30.691–30.697).
11. Acknowledgment
By completing your booking and payment, you confirm that you have:
• Read and understood the Payment & Refund Policy
• Read and agreed to the Customer Code of Conduct
• Acknowledged that violations may result in removal from the tour without refund
• Accepted the risks inherent in outdoor tours, including injury, weather variability, and natural conditions
12. Privacy Notice
• Personal information is collected for reservation processing, communication, and safety purposes.
• Information may be shared with payment processors or landowners as necessary for operations but is never sold to third parties.
• Data is retained only as long as required for legal or business purposes.
• You may request access, correction, or deletion of your information at any time by contacting us.
